Approval Processes
One of the most common and useful applications for workflows in SharePoint is to automate approval processes. These workflows are essential for managing documents, forms, and other content that require review and sign-off. By automating these processes, a company can save time, ensure consistency, and create a clear record of all decisions.
Simple Approval Workflows
A simple approval workflow is a step-by-step process. For example, when an employee submits an expense report, a workflow can be set up to automatically send a task to their manager. The manager can then either approve or reject the report. If approved, the workflow might update the document’s status and move it to a different folder. If rejected, it can send a notification back to the employee.
Multi-Step and Parallel Approvals
Workflows can also handle more complex scenarios. A multi-step approval process might require a document to be approved by several people in a specific order, such as a team manager first, then a department head. Workflows can manage this sequence automatically. A parallel approval process can send tasks to several people at the same time and can be set to complete once all approvals are received.
The Importance of Workflows
Workflows are vital because they ensure that every business process is followed correctly. They prevent steps from being missed and provide a clear history of all decisions, making the entire process more transparent and efficient. This reduces the need for manual follow-up and makes key business processes more reliable.
