Conducting a Content Audit
A successful migration begins with a thorough content audit. Identifying duplicate, outdated, or irrelevant files reduces clutter and makes the new SharePoint environment leaner. For example, old project folders that no longer serve business needs can be archived, while current projects move forward. This step also saves storage costs and avoids migrating unnecessary data.

Pilot Testing
Pilots allow organizations to test both technical and user experience aspects of migration. By selecting a small department or team, IT can validate performance, check for broken workflows, and gather feedback. Lessons learned in the pilot phase are applied to the larger rollout, reducing surprises during the full migration.

Communication with Users
Migrations can feel disruptive, especially when users are comfortable with the old system. Clear communication ensures employees know what is happening, when it will happen, and how it benefits them. Regular updates, FAQs, and support channels build confidence and reduce resistance. Without communication, even a technically smooth migration may face poor adoption.

Avoiding Over-Customization
Many on-premises environments rely on heavy customizations that do not align well with SharePoint Online. Trying to replicate them often leads to higher costs, technical issues, and compatibility problems with future updates. Instead, organizations should evaluate whether modern Microsoft 365 tools like Teams, Power Automate, or Viva Connections can replace older solutions more effectively.

Post-Migration Governance
The migration is only the beginning. Once data is in SharePoint Online, governance policies ensure the environment stays secure and well-organized. This includes setting retention rules, defining access policies, and establishing site lifecycle management. Without governance, sites can quickly become cluttered, permissions may sprawl, and compliance risks increase. Post-migration governance ensures the platform remains reliable for years to come.
