Deployment and Infrastructure

The biggest difference between SharePoint Online and SharePoint On-Prem lies in deployment. SharePoint On-Prem requires businesses to purchase and maintain physical or virtual servers, handle updates, and manage infrastructure in-house. 
SharePoint Online, on the other hand, is fully cloud-based and managed by Microsoft. This means no server maintenance, hardware investments, or manual patching. Organizations can start quickly without heavy upfront costs or IT resources dedicated to infrastructure.

Upgrade and Maintenance

With SharePoint On-Prem, businesses must plan, test, and implement upgrades manually, which can be costly and time-consuming. Sometimes organizations stay on older versions for years because of the complexity of upgrades. 
SharePoint Online is always up to date, with Microsoft rolling out new features and security patches automatically. This ensures users always benefit from the latest improvements without disruption.

Scalability and Flexibility

Scaling SharePoint On-Prem requires purchasing additional hardware, expanding storage, and configuring servers, which takes time and money.
In contrast, SharePoint Online scales seamlessly. Businesses can add or remove users instantly through Microsoft 365 licensing. Storage also expands based on subscriptions, and additional space can be purchased when needed. 
This flexibility makes SharePoint Online suitable for organizations of all sizes, from startups to global enterprises.

Security and Compliance Management

SharePoint On-Prem places full responsibility for security, compliance, and backups on the organization’s IT team. While this gives maximum control, it also requires expertise and resources to stay compliant with industry regulations. 
SharePoint Online benefits from Microsoft’s enterprise-grade security, including encryption, threat detection, and compliance certifications such as GDPR and HIPAA. Businesses can rely on Microsoft’s infrastructure while still configuring policies to meet specific needs.

Cost and Resource Considerations

Cost structure is another clear difference. SharePoint On-Prem often involves significant upfront expenses for servers, licenses, and IT staffing. Ongoing maintenance, electricity, and physical space also add to costs. 
SharePoint Online shifts expenses to a predictable subscription model, with no server investments required. Organizations pay per user per month, making it easier to budget and scale. For businesses wanting lower overhead and fewer IT headaches, SharePoint Online is generally more cost-effective.
