Migrating to a SharePoint on-premises environment can be a complex and challenging task. While some migrations can be done manually, using dedicated migration tools is a best practice that helps ensure a smooth and successful process.

Migration Tools

Several migration tools are available, ranging from Microsoft’s free tools to powerful third-party products. The SharePoint Migration Tool (SPMT) is a free, Microsoft-developed tool that is great for simple migrations from on-premises farms to SharePoint Online. It can handle many basic tasks but may not have all the advanced features of a commercial product. Third-party tools like ShareGate or Metalogix offer more advanced capabilities, such as automated pre-migration analysis, permission mapping, and the ability to migrate complex customizations and workflows.

Best Practices

Regardless of the tool you choose, a successful migration follows a few key best practices:

  • Plan, Plan, Plan: A thorough plan is the most critical step. This includes a pre-migration audit, setting clear goals, and creating a realistic timeline.
  • Phased Approach: Instead of trying to migrate everything at once, it’s often better to use a phased or incremental approach. This reduces the risk of downtime and allows you to test the migration in small batches.
  • Communicate with Users: Keep your users informed about the migration process. Provide training and support after the migration to ensure they are comfortable with the new environment.
  • Test and Validate: Before and after the migration, you must thoroughly test the environment to ensure that all data, permissions, and features have been migrated correctly.
